This Privacy Policy explains how HandyBot (“HandyBot”, “we”, “us”) collects, uses, and shares information when you use our services, including our website, web app, and messaging/voice assistants (the “Service”).
HandyBot is designed to help tradespeople (e.g., electricians, plumbers, HVAC) respond to customer inquiries, capture leads, answer FAQs, and schedule jobs via channels such as SMS/MMS, Facebook Messenger, WhatsApp, web chat, and phone calls (e.g., via Twilio).
1) Information we collect
We collect information in the following categories:
- Account & business information: name, email, phone number, business name, and settings you provide.
- Customer communications: messages, call recordings/transcripts (if enabled), and attachments that your customers send to you through the Service.
- Booking & job details: appointment requests, addresses, job notes, estimates, and service history that you or your customers provide.
- Usage data: log data (IP address, device/browser info), timestamps, feature usage, and diagnostic events.
- Payment information: if you subscribe, payments may be processed by a third-party processor; we generally receive limited billing metadata (not full card details).
2) How we use information
- To provide and maintain the Service (routing messages/calls, generating AI replies, storing conversations, scheduling).
- To improve safety and reliability (fraud prevention, abuse detection, debugging, quality monitoring).
- To personalize your experience (language preference, templates, business rules).
- To communicate with you (service notices, support, billing, updates).
- To comply with legal obligations.
3) How AI processing works
HandyBot may use large language models to generate suggested replies and to answer customer questions. Depending on your configuration, we may send portions of conversation content and relevant business knowledge-base snippets to AI providers for processing. We do not use your content to train public models unless explicitly agreed in writing.
4) Sharing of information
We share information only as needed to operate the Service:
- Vendors & processors (e.g., hosting, analytics, AI model providers, telephony/messaging providers like Twilio) who process data on our behalf.
- Integrations you enable (e.g., Google Calendar) to schedule events or sync information.
- Legal compliance: if required by law, subpoena, or to protect rights and safety.
- Business transfers: in a merger, acquisition, or asset sale, subject to applicable law.
5) Data retention
We retain information for as long as necessary to provide the Service and for legitimate business purposes, such as compliance and dispute resolution. You can request deletion as described below.
6) Messaging (A2P) & marketing use
HandyBot may facilitate customer support and service-related messaging via SMS/MMS and other channels. We do not use personal information for marketing or promotional purposes, and we do not sell or rent personal information to third parties for marketing.
Messages are sent only in response to user-initiated inquiries (for example, a customer calls or texts the business), or when the customer explicitly requests a response. End users can opt out of receiving SMS messages at any time by replying STOP. For help, users may reply HELP.
7) Your choices and rights
- Access / export: you may request a copy of your business data where applicable.
- Correction: you may update your account information via the Service.
- Deletion: you may request deletion of your account and associated data (see the Data Deletion page).
- Opt-out: you can disable certain features (e.g., call recording) in settings where available.
8) Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is 100% secure.
9) Children
The Service is not directed to children under 13 and we do not knowingly collect personal information from them.
10) International users
If you access the Service from outside the United States, your information may be processed in countries where our vendors operate. We take steps to protect information as required by applicable law.
